Project Management Let’s do it in Sprints!

In this developing economy, companies are expanding at immense speed and in order to accelerate their growth, they take different internal projects to improve the internal operations supporting organizational goals. But Project management in itself is a headache due to lack of right skills, domain expertise, pressure of day-to-day operations, etc. in which projects are not given priorities leading to enormous delays or reducing effectiveness.

It is important for an organization to plan the projects in a way that it gets implemented effectively as well as on the pre-decided time. To manage the Projects, there are various proven approaches which makes a life of project manager a little better. Below are some of the known approaches Waterfall, Agile, Scrum, Lean, Kanban, etc.

One of the most effective & quick fix methodologies is Scrum, which is a form of Agile methodology. In this methodology, we can identify the Sprints, split tasks into short cycles of 1-2 weeks but not more than a month where back logs can be covered up. This technique not only helps in completing the tasks on time but also motivates the team as they can see the progress every week. It is of course not a one-time activity; an ongoing task of planning, managing & reviewing and this cycle is known as Sprint Ceremonies covering 4 stages:

Sprint planning

For effective Sprint Planning, the Scrum master should consider all the project backlogs & check upon the upcoming tasks based on the project plan and reprioritize the tasks that shall and can be accomplished based on the time frame in order to increase efficiency.

Daily Scrums

It is necessary to have daily scrum meeting which helps in synchronizing the team activities & help other members with the progress & it revolves around 3 main agendas

 – Updates of yesterday

 – Today’s plan

 – Was there any hindrance in accomplishing the task?

This meeting should not exceed 15 min in a day

Sprint Reviews

Sprint reviews should start with overall objective and vision of the project which is followed by acknowledging the team’s efforts based on last week’s progress and planning on next week’s goals along with the task ownership

During this review Scrum Master must highlight the completion, delays, backlogs, problems & feedbacks along with the updates but this review should not be of more than 1 hour

Sprint Retrospectives

It is a part of Sprint meetings in which team member reflects on the sprint that is ending and identify opportunities to improve in the new sprint.

In making a project successful, Scrum Master must focus on below 3 things for effective & timely implementation of a project

 – Project Backlog- Scrum Master focusses on the priorities decided at the time of Project inception & tracking of the same is necessary

 – Sprint Backlog- this is a prioritized list of tasks the team needs to complete during the sprint.

 – Burndown charts- This shows the remaining work in a sprint & shows the progress & timeliness of a project
